The European Patent Office in Munich is seeking a Management assistant/Secretary, for its Munich office

in Directorate 5.3.2 (Employment Law)

Directorate 5.3.2 Employment Law gives management and HR advice on employment law and represents the EPO in internal appeals and complaints before the Administrative Tribunal of the International Labour Organization (ILO).

The Directorate is looking for a suitable candidate to provide administrative support to the directorate with effect from 01.07.2012.

Main duties:

Tasks related to Directorate 5.3.2's litigation activities:

  • Administrative support for the lawyers in their work on internal appeals and external complaint procedures (checking and collating appeal and complaint related documents, including annexes and translations), as well as submissions
  • Preparation and distribution of correspondence with the Appeals Committee, the ILOAT and all other internal and external counterparts
  • Recording incoming appeals, monitoring time limits and deadlines
  • Producing and updating statistics on internal appeals and external complaint procedures
  • Data entry and maintenance of the database recording appeal and complaint procedures
  • Maintenance of the archives
  • Interface with appellants or complainants and their counsels, including advice on procedural aspects

Tasks related to Directorate 5.3.2's legal advice activities:

  • Preparation, photocopying and distribution of documents related to advice activities; updating of the LogBook.

General administrative tasks:

  • Ensure availability of the directorate by phone
  • Support in the preparation of missions
  • Secretarial and clerical support for the lawyers and the director
  • Other secretarial and clerical duties as assigned.

Candidate profile:

  • very good knowledge of the EPO's official languages, in particular English and French
  • very good knowledge of relevant MS Office systems (incl. PowerPoint, Excel), standard e-mail/calendar systems (e.g. Lotus Notes), internet, and of Office standard software
  • excellent secretarial and administrative skills
  • preferably several years relevant work experience in an international organisation
  • proactive approach to daily challenges that arise
  • friendly and open manner, enjoy working in a service-oriented environment
  • flexible team player with the ability to work independently
  • highly loyal, discreet and diplomatic
  • experience in legal work would be an advantage.

Minimum qualifications:

Completed secondary education or - in exceptional cases - equivalent professional experience. Working knowledge of the EPO's three official languages**.

The successful candidate(s) will be selected on the basis of qualifications, supplemented, as appropriate, by interviews and/or tests.

It is intended to hold the interviews in calendar week 11 of 2012.
