Assistant Administrative Officer Australian Embassy Brussels

Overview

The Australian Embassy and Mission to the EU in Brussels represents Australia’s interests in Belgium, Luxembourg, the EU and NATO. The Embassy requires a full time Assistant Administrative Officer to support the Finance, Property and IT Managers in the mission. The position is a combined role relating to the accounts function, the maintenance of the Embassy’s property portfolio and its IT and communications systems. Duty Statement

  • Support the Embassy’s Accountant by providing a full range of accounts payable functions, including, but not limited to, creation and amendment of vendors in SAP, administering and processing payments in SAP, preparation of finance forms for approval by the appropriate delegate, administering vehicle fuel cards, processing VAT exemptions and administering the recovery of personal telephone, internet and fax costs from staff;
  • Support the Embassy’s Property Manager by managing repairs and maintenance work (including for furniture and fittings) for the Chancery, A-based residences and the Official Residence, including but not limited to procuring items for the Chancery and residences, maintaining and distributing representation and settling in and out kits and responding to emergency or unforeseen repairs and maintenance requests;
  • Support the Embassy’s Information Technology (IT) Manager by assisting in operational IT and Telecommunications tasks including, but not limited to, maintaining IT hardware, assisting with IT installations, providing first level user support and undertaking liaison with DFAT’s Global Support Centre based in Canberra. Perform as the IT Manager’s “back-up” as required;
  • Other duties as directed.

Selection Criteria

  • Demonstrated experience in an accounts payable role;
  • Previous experience in the use of financial management systems such as SAP would be an advantage;
  • Experience in Property Management would be an advantage;
  • A good understanding of computer hardware, of the Windows Operating System and a good knowledge of the Microsoft Office suite;
  • Ability to understand and apply both Australian and Belgian legislation, regulations and guidelines as related to the operations of the Administrative Section of the Embassy;
  • Ability to organise workloads, set priorities and meet deadlines to achieve results;
  • High level communication skills, including the ability to negotiate and liaise with stakeholders;
  • Fluency in written and spoken English is required and fluency in either French or Dutch (or both) is an advantage;
  • A valid Driver’s Licence is essential.
